EHCP Writing Service (K.S Associates) has carried out measures to help ensure that the sensitive nature of the documents that are sent to us, that we store, work with and send to clients are protected.
All documents that we use for the purpose of writing Education, Health and Care Plans (EHCPs) or other SEND related documents are stored using an encrypted filing system and can be securely shared by the writers working for K.S Associates. This encrypted filing system is ‘Box’ which is a Government Digital Service. Where necessary we will also use a separate encrypted e-mail service to send completed EHCPs to clients if requested.
Once the EHCP has been written and agreed/accepted by the client the related documents will be deleted from our encrypted file. On no account will any documents be passed on to an external party, meaning that these documents will only be ever shared by the writers of K.S Associates and the client. Any documents printed by the writer will be disposed of securely once finished with and stored securely whilst in use.
All writers are DBS checked and will sign a confidentiality agreement before carrying out any work for K.S Associates. New writers joining K.S Associates will also be required to carry out training in Data Security and confidentiality.
All potential clients will be made aware of how we store and share documents.
We also ensure that no contact information such as e-mail addresses and phone numbers of clients are passed on to a 3rd party.
Data storage, such as spreadsheets of previous and current work will not hold any personal information which would breach the confidentiality rights of the client.
K.S Associates will review their confidentiality and Data Security/Protection policies and processes annually.
